Job Description For Natcor CT Pairings & Results Secretary

  1)     Arrange pairings between members on request.

  2)     Pairings between players are determined by their current position in the CT table.

  3)     Approximately 4 points up or down between them.

  4)     Avoid pairing players with the same opponent within in 12 months unless requested by both.

  5)     Keep a record of pairings and results.

  6)     Buy 2nd class stamps, envelopes and game cards.

  7)     Photocopy pairing notices.

  8)     Fill in pairing notices and send to the players (score card to accompany pairing notices to the player with the first move).

  9)     Record results and new pairings on record cards.

  10) Record results and new pairings in a book.

  11) Record results and new pairings on record sheet.

  12) Send results and new pairings record sheet to CT recorder each month.

 

  Job Description For Natcor CT Controller

  1)     Adjudicate on disputes.

  2)     Seek to get players in the CT to resolve disputes between themselves.

  3)     In the event that this is not possible, decide on disputes according to the rules of correspondence chess and Natcor's CT rules.

  4)     Investigate allegations of defaults and determine the outcome of such matches (i.e. whether to declare void or award wins by default, if necessary adjudicating positions)

  5)     Liaise with other CT officials on the results of decisions at 2 & 3 above.

  6)     If in doubt or you would prefer to seek another opinion on your decision then the other committee members are always at your disposal.

 

Job Description For Natcor CT Recorder

  1)     CT Pairings & Results Secretary forwards all pairings and results to the CT Recorder each month: (usually around the 1st).

  2)     Add new pairings to the relevant members’ pairings cards in the "card-dex". Highlight which game is being played as white by underlining the pairing number in red ink (this becomes important when recording the result).

  3)     Enter any results onto both players’ results cards:

  4)     Add up score and amend the CT charts accordingly (a Microsoft Excel program helps).

  5)     Write up comments for the editor of EP about all new CT results to go alongside the new chart positions (mention as many members’ names as possible and have fun with it).

  6)     No Results Box: a little mention to those members (usually new) that have CT games on the go but no results yet.

  7)     Awaiting removal from CT: write up a printed warning for the editor of EP to members that have run out of CT pairings stating that they have 3 months to apply for more pairings before being deleted from the CT charts.

  8)     Send all info (usually via email) to the EP editor for inclusion in monthly magazine.

  9)     Be sure to back-up all computer files on CD floppy disc.

  10) Ensure any member who achieves capitals will retain them for life.

 

Job Description For The Natcor Recruitment Officer

  1)     Determine and implement recruitment strategy to secure appropriate members for the club.

  2)     Recruit members by promoting all our virtues. En-Passant, tournaments, the RGCT and our social magazine, The Oracle.

  3)     Contact over-the-board chess clubs throughout the UK.

  4)     After contact is made, supply the organiser with a flyer for their notice board and signing-on packs containing information about Natcor.

  5)     Make all contacts aware of Natcor’s web site.

  6)     Advertise on CEEFAX, in chess magazines and any other chess papers.

  7)     To people who make enquires about Natcor send an application form, introductory document (two pages) and a sample EP.

  8)     To applicants who fill in their application form and submit a cheque, send a thank you letter, a set of rules and a copy of Natcor’s constitution.

  9)     Pass cheque and all information about new members on to Natcor’s Treasurer as quickly as possible.

  10)Keep Natcor’s committee informed via committee mail of progress, plans and contacts.

 

Job Description For The Editor Of En Passant

  1)     From the bank of book reviews and games, select the ones for inclusion.

  2)     Sort items received into email, postal and telephone submissions.

  3)     Read submissions and select the ones for publication.

  4)     Check spelling and grammar on all items.

  5)     Type all items into a Microsoft Word document (this allows the editor to estimate the space required).

  6)     Re-format any items not in MSWord (sometimes submissions are in Exce)l. Re-size Excel tables for the Reg Gillman Continuous Tournament.

  7)     Enter items for the new issue and proof read (a good tip from an old chap in the printing trade. “read backwards and then you aren’t anticipating”). In other words don’t anticipate!

  8)     After deadline (usually 8th of the month), decide how many pages the magazine will contain; either 20 or 24.

  9)     When complete, print out the A4 sheets (2 pages per sheet)

  10) Post final copy to Distribution Secretary; who takes them to Prontaprint and after collection, collates and distributes the copies.

  11) The Editor quite often receives questions etc that should be directed to controllers redirect these and contact the sender(s) to let them know why there’ll be a delay with their query.

  12) Answer any other questions by direct contact rather than via the magazine (unless the query is relevant to members in general).

  13) Be sure to back-up all computer files on CD or floppy disc.

 

Job Description For The Natcor Returning Officer

  "To oversee and organize any policy motions submitted by members of the club"

  1)     Section 9 of the club constitution sets out the tasks and procedures for the Returning Officer to adhere to.

  2)     Integrity is really the key word for any Returning Officer to consider during a policy motion and ballot.

  3)     When posting out ballot papers (via En Passant) ensure that papers are numbered in order to counteract any photocopying of such ballot papers and hence vote rigging. Close liaison with the EP editor is essential.

  4)     The Returning Officer shall notify the result to the Chairman, Secretary and editor of "En Passant" within one week of the date fixed for receipt of the ballot papers.

  5)     Report results to the Webmaster as soon as possible.

 

Job Description For The Natcor UK Match Captain

  Objective: - to play other postal chess clubs in the UK.

This is ongoing throughout the year and can start at any time:

  1)     First find out how many Natcor members are willing to play in the team (some of this can be found out from the completed Treasurer’s renewal form in September).

  2)     Contact other postal clubs to see if they are willing to play us.

  3)     Send details of Natcor teams to the other captain:

a) how many players in the team:
b) starting and adjudication dates:
c) rules of correspondence chess to apply.

  4)     Send out pairings at the start of the event.

  5)     Publish this in EP and the results as they come in.

  6)     Collate results and report to the editor of EP on a monthly basis.

  7)     Liaise with the opposition match captain to appoint adjudicators for unfinished positions where required.

  8)     Liaise with opposition match captain to resolve any disputes that cannot be resolved amicably by the players themselves.

  9)     In the event that this is not possible, liaise with the opposition match captain to decide on disputes according to the rules of correspondence chess.

  10) Liaise with the opposition match captain to investigate allegations of defaults and determine the outcome of such matches (i.e. whether to declare void or award wins by default, adjudicating positions as necessary).

  11) Liaise with the opposition match captain to deal with complaints as a matter of urgency.

  12) Keep both parties and match captain informed as to what is happening.

Job Description For Natcor Webmaster

  1)     Maintain integrity of web site appearance and content.

  2)     Ensure information is kept as up to date as possible

  3)     Cross-refer information with En Passant to ensure accuracy/consistency.

  4)     Make changes as notified by club officials/members as quickly as possible.

  5)     Maintain functionality of internal hyperlinks.

  6)     Monitor external hyperlinks and repair/remove broken/defunct links as necessary.

  7)     Add new links only after committee approval.

  8)     Keep ftp password secure.

  9)     Liaise with web hosting authority as necessary to resolve server/publishing issues.  

  Job Description For The Natcor Trophy Officer

1) Buy trophies.

2) Have them suitably engraved.

3) Send trophies to winners using Firs Class postage ensuring that they are safely and securely packaged.

4) Report to the Webmaster names of winners.

5) Issue trophies to the following:

Tom Morris Championship Winner: - Natcor’s Champion (1 winner per year) (1 winner per year) (1 winner per year)

League Tournament: - each division winner (approximately 4 winners per year)

APA: - each group winner (approximately 2 winners per year)

Team Tourney: - Captain of winning team in Division One ((approximately 1 winner per year)

NBKO: - winner of each section (approximately 2 section winners per year)

Email Tournament winner (1 winner per year)

Agreement with the Treasurer on the price of trophies is essential before purchase.


Job Description For The Tom Morris League Championship Controller

  1)     Recruit players who would like play in this event.

  2)     Send out pairings at the start of the event.

  3)     Place players in the correct division based on previous years results.

  4)     Collate results and report to the editor of EP on a regular monthly basis.

  5)     Appoint adjudicators for unfinished positions where required.

  6)     Decide winner / relegation positions based on results received.

  7)     Adjudicate on disputes.

  8)     Seek to get players to resolve disputes between themselves.

 9)     In the event that this is not possible, decide on disputes according to the rules of correspondence chess and Natcor's rules.

Job Description For The Natcor Overseas Match Captain

  This is an ongoing tourney throughout the year with different clubs.

  1)     Form a pool of Natcor members willing to play overseas teams.

  2)     Contact overseas clubs to arrange matches.

  3)     When contact is positive, discuss with the other captain details of the match for example:

how many players in the team:

starting and adjudication dates:

rules of correspondence chess to apply.

  4)     Send details of Natcor teams to the other captain.

  5)     Send out pairings at the start of the event.

  6)    Collate results and report to the editor of EP on a regular monthly basis.

  7)     Appoint adjudicators for unfinished positions where required.

  8)     Liaise with the opposition match captain to appoint adjudicators for unfinished positions where required.

  9)     Liaise with opposition match captain to resolve any disputes that cannot be resolved amicably by the players themselves.

  10) In the event that this is not possible, liaise with the opposition match captain to decide on disputes according to the rules of correspondence chess.

  11) Liaise with the opposition match captain to investigates allegations of defaults, and determine the outcome of such matches (i.e. whether to declare void or award wins by default, adjudicating positions if necessary).

  The APA is a tourney of fours. There are 4 players (1-4) per section and 4 sections (a-d) per group.

  Four sections making the group with the winner of each section playing in the group final. Players can enter for as many groups as they like but only one section in each group. Groups can start at any time

  The winner of each section plays in the final of that group. With the winner of the group being given a Trophy.

  Each player plays 2 games against the other 3 in the section. The player with white starts the pairing.

  Player 1 starts against numbers 2 and 3, 2 starts against numbers 3 and 4, 3 starts against 4, 4 starts against 1.

Job Description For Natcor’s Chairman

  1)     The Chairman is the figurehead of Natcor and should lead by example and endeavour to keep the club/committee informed of any issues likely to affect the club.

  2)     Oversee the running of the club through the committee.

  3)     The committee members in their various roles are autonomous within the confines of their job description, therefore, unless there is a major issue to be resolved the Chairman will not intercede in their work. Where there are issues the ultimate responsibility is the Chairman’s, after consultation with the other members of the committee.

  4)     The Chairman’s responsibility is to lead the committee on issues of overall strategy for the club and ensure that strategy meets the needs of the members for a self-financing enjoyable club.

  5)     Recruit volunteers to take over vacant committee posts that occur.

  6)     Recruit volunteers to take over vacant club officials jobs that occur.

  7)     Chair all club meetings.

  8)     Write up a regular ‘Chairman’s Chat’ piece for EP.

  9)     and most important: - ‘Keeper of The Gavel’!

 

Job Description For Natcor’s Treasurer

  1) Pay bills with National Correspondence Chess Club cheques

a)     record all transactions accurately.

b)     file all transactions accurately.

  2) Cheques require 2 of the 3 authorized signatures: -

Chairman. Secretary. Treasurer.

  3) in the event of a personnel change: -

a)     Use a ‘change of signature form’ supplied by the bank.

b)     Fill in form (parts relevant to the treasurer.

c)      Send form to the new Officer.

  4) New Officer to: -

a)     Fill in form (parts relevant to the new Officer).

b)     Return to treasurer.

c)      Treasurer then returns form to the bank for authorization.

  5) Pay all receipts into the National Correspondence Chess Club account: -

a)     Record all transactions accurately.

b)     File all transactions.

  6) September is subscription renewal time. Send a notice to EP editor with: -

a)     A list of members who have renewed.

b)     A list of members who have made donations to club funds, (with grateful thanks).

c)      A list of members who have yet to pay.

  7) After Nov 1st (which is the cut-off date for renewals) send a notice to EP editor with: -

a)     A list of members who have paid.

b)     A list of members who have made donations to club funds. (with grateful thanks).

c)      A list of members who have been deleted for non-payment.

  8) December: -

a)     Send deletion list to the ‘label secretary’ with instruction to update address labels for En Passant and pass onto the distribution secretary.

  9) New members: -

a)     Pay all money received into the bank.

b)     Send receipt for the cheque to new member.

c)     Inform Secretary with instruction to update address labels for En Passant and pass onto the Distribution Secretary.

d)     Notify CT Pairings and Results Secretary and any other tournament controller where the new member has expressed a wish to participate.

e)        Send new member club rules and Natcor’s constitution.

  10) Balance the books: -

a)     Number the receipts and put number on the expense sheet next to the item paid.

b)     List all expenses.

c)      When the final bank statements arrives (normally January at the earliest).

d)     Send to auditor.

  11) Send copy of accounts to editor of EP.

a)     Prior to the AGM in May.

b)     Have copies available for members attending the AGM

c)      Send report of the year to Natcor’s secretary.

d)     Send report of the year to the editor of EP.

  13) Keep the address list up to date. Inform Secretary and Distribution Secretary of all changes.

  14) liaise with recruitment Officer.

 

Job Description For Natcor’s Honorary Secretary

  1)     Write a report for publication in En Passant informing members of club news views etc.

  2)     Deal with any queries from the members.

  3)     Deal with any incoming mail to the sec about the club from all sources including Natcor’s web pages.

  4)     Prepare documentation for AGM (agenda; reports etc).

  5)     Keep the address list and address labels up to date. (liaise with recruitment Officer and Treasurer.

  6)     Always back up members information.

  7)     Send addressed labels to the Distribution Secretary.  

  8)  Inform Editor of EP of Details of New Member.

January

Send notice to the EP editor for publication requesting members to apply to host AGM in the following year. Closing date for applicants is end of April.

For March EP

Send the new agenda and the minutes of the previous AGM to the editor for publication in EP prior to the May AGM.

April EP

Put a notice in EP announcing the yearly election of the committee.

Closing date for applicants: - the last day of June.

June EP

Copy the AGM minutes into the minute book and send a copy to the EP editor for publication along with annual reports to editor of EP.

July EP

Send notice to EP editor announcing the AGM dates and location for publication in EP as soon as the committee have made their decision.

Send to the Distribution Secretary a subscription renewal form to be enclosed with the July EP.

August EP

Election of the Committee:

In the event of a contested election, ballot papers will be sent out with the September En Passant together with manifestoes (if written by the candidates) to a maximum length of 300 words each.

September EP

Promote/encourage members to attend AGM.

November/December

Send notice to the EP editor for publication in November EP requesting members to apply for motions for inclusion in the agenda for the AGM to be received by the Secretary not later than the last day of March.
 

Job Description For Natcor’s Distribution Secretary

 

1) Each month receive Addressed labels from Natcor’s Secretary.

2) Affix labels and stamps to envelopes.

3) Each month receive En-Passant Proofs from Editor of En-Passant.

4) Take Proofs to the Printers.

5) Pick up EP’s from Printers (normally next day)

6) Assemble and staple pages.

7) Fold and insert into the stamped addressed envelopes.

8) Take to Post Office.

9) Check for correct postage (foreign; weight; size; etc.)

10) Photocopy Bills and Receipts for own record.

11) Send all paid bills and Receipts to Natcor’s Treasurer.
